A wholesale and retail merchant in Yemen operating in the food and consumer goods sector with 3 main branches, a central warehouse, and a team of 50+ employees including accountants, warehouse supervisors, and cashiers. Previously relied on a generic accounting system incompatible with the Yemeni business environment.
Problem & Context
The merchant relied on a generic accounting system incompatible with the Yemeni business environment, causing: (1) no support for the local currency (YER) and Yemeni financial formatting, (2) non-Arabic interface or poor machine translation unfitting for Yemeni accounting terminology, (3) no integrated payroll system aligned with Yemeni labor contracts and leave policies, (4) unprofessional paper invoices without RTL support or authentic Arabic design, (5) difficulty connecting multiple branches and warehouses, (6) absence of financial reports compliant with Yemeni Zakat and tax requirements.
Our Solution
We deployed a comprehensive ERP system based on Dolibarr 22.0.3 with the following customizations: (1) Complete Yemen Localization Module (ar_YE) — adding Yemeni Arabic to Dolibarr with local accounting terminology (Sales Tax, debit notes, credit notes, ledger), (2) Yemeni Rial (YER) support with Yemeni number and date formatting, (3) Integrated Payroll System (Dolipayroll) — employee contract management, monthly payroll, deductions, allowances, leave tracking, and printable salary slips, (4) Professional Arabic Invoice Templates (RTL) — custom-designed invoices with Arabic layout, logo, and color scheme, (5) Multi-branch and multi-warehouse management with automated inventory tracking, (6) Full accounting system with general ledger, accounts payable/receivable, trial balance, and income statement.

Architecture
Built on Dolibarr 22.0.3 (PHP/MySQL) with advanced customizations: Yemen Localization Module transforming accounting terminology and financial statements for the Yemeni context, Dolipayroll payroll module for salary management, custom PDF invoice templates using ODT/TCPDF with full RTL and Arabic font support, MariaDB database with automated backups, responsive interface with Arabic (RTL) and English support. Docker is used for standardized deployment and operations.

(1) Multi-level role-based access (manager, accountant, warehouse supervisor, cashier), (2) SSL encryption for all communications, (3) comprehensive audit trail for all financial and administrative transactions, (4) encrypted automatic backups, (5) firewall separating the system from the public internet, (6) strong authentication with user session management.
Our Approach
We followed a phased rollout approach to minimize risk to the merchant's daily operations. We started with 3 weeks of Yemeni accounting requirements analysis in collaboration with Yemeni accountants. The localization was then deployed in a staging environment with one month of real data migration for accuracy verification. After client approval, full go-live was executed with 2 months of intensive support.
