4U Design — a high-end tailoring workshop in Yemen managing 10+ professional tailors receiving 100+ monthly orders for diverse designs (fashion, upholstery, curtains). Struggled with manual order management and difficult cost-profit analysis per design.
Problem & Context
The tailoring workshop faced: (1) manual order management with difficulty tracking production stages from measurement to delivery, (2) no unified chart of accounts for tracking debit and credit entries causing accounting errors, (3) difficulty calculating daily cost per tailor and per-model cost accurately, (4) loss of supplier and client records and previous transaction details, (5) no useful financial reports for decision-making, (6) difficulty calculating profit margin per design.
Our Solution
We built TailorApp Pro (7400+ lines of Python/Tkinter code for the desktop client, Next.js/Node.js for the web interface) with: (1) comprehensive chart of accounts with 5 roots (Assets, Liabilities, Equity, Revenue, Expenses) and 35+ database tables, (2) supplier and client accounts with receivable/payable tracking, (3) operations inventory tracking raw materials and finished goods, (4) daily tailor cost tracking across 7 production stages (specification → pricing → cutting → sewing → weaving/embroidery → ironing → completion), (5) cost summary by model for profit margin analysis, (6) completed operations register and tailor task register with performance reports, (7) financial report export capabilities.

Architecture
Desktop application written in Python with Tkinter UI for daily workshop management, connected to PostgreSQL database via 35+ tables. Hierarchical chart of accounts with 5 roots and 3 sub-levels. Machine-locked licensing using motherboard MAC address + HMAC-SHA256 to prevent unauthorized copying. Web interface (Next.js/React/Node.js) for financial reports and admin dashboard. User authentication using PBKDF2 with 100,000 hash iterations.
Security & Performance
Role-based access (manager, accountant, tailor). Machine-locked licensing using MAC Address + HMAC-SHA256 preventing unauthorized duplication. Passwords hashed with PBKDF2 at 100,000 iterations. Financial data encryption. Audit trail for all account modifications with user and timestamp tracking. Daily automatic backups retaining the last 7 copies.

We followed a Client-Centric Customization approach — starting with deep understanding of the workshop operations: how orders are received, how costs are calculated manually, how tailors are managed. The system was designed to mirror these exact workflows while adding digital enhancements. Easy interface for tailors, accurate reports, and fully documented financial transactions.
